VRPA Committee Meeting: Oct. 20th, 2004

 

Attendance: Warren, Kyle, Dale, Eden

 

Meeting start: 7:20pm

 

1)  Dale's Tourney:

 

Dale will contact us ASAP about the date we will have the tourney.  He needs to make sure that Able’s Christmas auction is NOT on the same weekend.

(UPDATE: Dec 5th has been set for this event).

 

2)  Tourney Revision Confirmation:

 

Just to confirm, anyone who missed a tournament can get one 'average score' added to their final league total... this average is calculated as (total points accumulated during the calendar year / (total number of tournaments MINUS 1).  In the case of this year, it would be divided by 6 since there are 7 tournaments this year.

 

3)  Committee Meetings:

 

Kyle questioned whether we need to have them every 6 weeks or should we reschedule them farther apart, possibly every 8, 10, or 12 weeks?

After some discussion, it was decided that for now, we will continue to have the meetings every 6 weeks, and if a meeting date approaches without many topics to discuss, the meeting would be skipped and whatever DOES need to be attended to would be covered on the forum in the Committee section.  If cancelling meetings becomes a trend, we would then address a new meeting structure involving fewer Committee meetings throughout the year.

 

4)  AGM Schedule:

 

Our AGM will be held at Dale's during our all-day Christmas Bash on the 5th of December.  Everyone participates in this meeting.

First, Kyle will conduct an overview of the meeting:

    -Year in Review.

    -Website Update (Jason) and quick look at the upcoming year.

    -League and tourney updates and changes (Eden)

    -Election of Members

    -Tourney info for the night

    -Collection of Member fees

    -Question Period.

 

We'll try to keep this to about an hour total, but not cut it off too quickly.

 

5)  Kyle' Priority List:

 

Kyle will start to create a list of things we need to have ready for this meeting, and will post them in the Committee section of the forum.

Some of these things include a tentative schedule for next year's meetings, and a list of upcoming pinball events (like expo, cali extreme, etc.)
