VRPA Committee Meeting: Aug 12th, 2004

Attendance: Warren, Kyle, Dale, Jason, Eden

Meeting start: 7:40pm

1)  Upcoming Tournament Dates:

To accommodate Pinball Expo, and have a meeting closer to Christmas for our year-end get together, the last 3 tourneys of the year will be as follows:

Sept.3   - Hosted at Warren's
Oct. 29 - Host to be determined...
Dec. ?? -Date to be finalized later, hosted by Dale G.


2)  Member Situation:

Concern over the lack of new members arose... questions were posed on how to get new members.  One suggestion was to print up simple brochures... something to actually hand a person that they can read over and check out without feeling they're being 'sold' something... less pushy.
Another suggestion was to put a small ad in the Buy and Sell, which Kyle decided he would possibly do within the coming months.
It was also suggested that we may drop the 'must-own-a-pin' requirement for membership.
After some discussion, many felt that our current membership was not necessarily a problem at present, and with the revamped VRPA site coming up in early 2005, it would be then that we would give that attention if need be.


3)  Committee Meetings:

Kyle questioned whether we need to have them every 6 weeks or should we reschedule them farther apart, possibly every 8, 10, or 12 weeks?
After some discussion, it was decided that for now, we will continue to have the meetings every 6 weeks, and if a meeting date approaches without many topics to discuss, the meeting would be skipped and whatever DOES need to be attended to would be covered on the forum in the Committee section.  If cancelling meetings becomes a trend, we would then address a new meeting structure involving fewer Committee meetings throughout the year.


4)  Future Tournament at Shorty's in Seattle:

Kyle proposed that we go down to Shorty's Cony Island in Seattle for a group tournament some time next year, possibly Spring.  It was suggested that we go on a Sunday, possibly just before a Canadian Holiday Monday (maybe Easter?) and spend a late afternoon / evening there.  People could return home of spend a night at a hotel after the tournament, if they wished to do so.
It is likely that we would NOT count this tournament among league play, but would more likely have a one-time winner takes all kinda deal... nothing's in stone yet.  Dale will begin looking into dates, feasibility, and possibly getting a deal with the place to make it exclusively ours for an evening.


5)  Year end Committee Meeting:

A reminder that at the Christmas get-together at Dale G's, we need to have the Year end Committee Meeting involving all members in attendance.
This will be a chance to let everyone know what's been happening in our meetings, what we and the VRPA have planned for the following year, and what concerns any group members may have that we can address.
