VRPA Committee Meeting: Jan. 8th, 2007

1)      AGM: Kyle wanted to go over an agenda for the AGM, to make sure we can get through it efficiently.

·        Overview of 2006

·        Plans for 2007 including:

  New League System

  Payment to Event Hosts

  2 Tier Membership

  Updated Picture System for Website

  Planning the 2008 BC Pinball Championships

·        Province Article

·        2007 Schedule Openings

·        Committee Member Additions

·        Christmas Plans

·        2006 Financials

·        Q & A Period

 

 

2)      Committee Positions: Although no-one is stepping down from the Committee, if someone is interested in joining, Kyle wants VRPA Members to send him a PM expressing their interest.

 

3)      Website Feedback:  We still need to get the Feedback link, discussed at the last Committee Meeting, up on the Forum: VRPAfeedback@shaw.ca.  We will ask Jason to add this to our website.

 

4)      2 Tier Membership:  To accommodate several Members who can NOT attend many VRPA events, namely people outside the Lower Mainland, it was decided that a 2 Tier Membership would still allow people who wanted to join the VRPA become Forum Members and attend a limited number of events each year.  The 2 Tiers are:

 

·        Full Membership: $25 – Anyone who lives within the Lower Mainland.  Includes Full Forum Access and Attendance to every VRPA Event.

·        Forum-Only Membership: $15 – Limited to people OUTSIDE the Lower Mainland but with restrictions:

  Firstly, Member MUST attend at least ONE meeting to become activated for Full Forum Access, and will be included in League Scoring.

  Secondly, Member may attend no more than 2 VRPA events in 2007.  To attend, they must RSVP, and in the case of limited space, Full Members would take precedence over Forum Members, but Forum Members will override the attendance of Guests at any event. (See item 5 below)

 

We will ask Jason if there is some way to set the website to easily identify Full Members vs. Forum-Only Members.

 

5)      RSVP for Tournaments:  Due to the size of the group, and in fairness to all hosts and members, RSVP will be used for ALL necessary events.  The limit of people at each event will vary by Venue.  The RSVP will always be posted on the website, and all Members wishing to attend will be allowed to do so based on order of RSVP, however:

·        Full VRPA Members override RSVPs from all Forum Members and Guests.

·        Forum Members will override Guest requests.

 

PLEASE NOTE:  VRPA League Members that specifically wish to play in the night’s Tournament will be allowed attend, with the exception of Forum-Only Members.

 

            Tournaments will be starting PROMPTLY this year!!  Starting times will be posted with the RSVP thread, and late comers will NOT be able to participate that night!!

            This is again in fairness to not only the host, but all participants in the Tournament so it does not run too late into the night.

 

6)      Jason’s role in 2007:  Due to Jason’s schedule, he will attend very few Committee Meetings this year, but will still maintain the website for us and will be the tie-breaker vote whenever necessary.  We are all glad Jason has decided to remain a part of the Committee despite his busy schedule, as he is a real asset to the VRPA.  He is still welcome to attend meetings whenever time allows.

 

7)      League / Tournaments in 2007:  Eden went over some final details of the League and Tournament plans for 2007.  Eden will be adding a ‘2007 League and Tournament Overview and Rules’ page to the Documents section of the website in the very near future, and certainly before Dave Eisner’s event on Jan. 20th.

 

8)      2008 VRPA Public Event:  After a VERY successful Xmas Bash, the VRPA is planning to take the next big step in putting on a show that is even bigger and better.  The idea at present is to hold the 2008 BC Pinball Championships, and throughout 2007, the Committee will start discussions on all aspects necessary to hold such an event.  More details to come in the future.
