VRPA Committee Meeting: Sept. 12^th, 2005

1)  T-shirt designs

· The committee has decided on a design for our next batch of t-shirts.  It will show a pinball machine on the back, with maple leaf artwork and our VRPA logo as seen on the website.  The front will have a pinball with VRPA lettered inside of it.  Below the logo will have www.vrpa.ca text.

o The right sleeve will also display www.vrpa.ca text.

o Shirt colors will be grey, tan and possibly a light army type green

· Next steps are to find an artist to make the artwork.  This will have some costs associated with it.  The committee will factor in the art creation costs when coming up with the pricing for the shirts.

· Jason is the shirt design winner.  Kyle owes him an EA game of his choice.  Jason must read these minutes to actually find out that he has won.

2)  The Twilight Zone Trophy

· The committee thought it would be cool if the winner of the TZ trophy adds something into the gumball globe.  This could be anything free or under 1 dollar.  Hopefully something cheesy and funny.

3)  Yearly membership fees

· It has been decided to raise the yearly membership fees to 25 dollars a year.  This is to cover website costs, monthly hosting fees, t-shirt design artwork creation and so on.  With the creation of the new website, 2005 was an extremely expensive year – we hope 2006 will not be so costly.

· The VRPA is nearly out of money, and the extra 5 dollars will go a long way.

· Warren needs to ensure that the yearly balance sheet is completed before the 2005 AGM and posted on the website.

4)  Tournament get-together e-mail

• Dale G. will create an e-mail to send out to all members of the VRPA notifying upcoming tournaments.  It will include start time, directions and so on.

5)  Website updates

• Eden would like a tab to view past years tournament results on the website.  This is not in the current design and the VRPA does not have enough in the budget to account for this.
• Eden said he would pay for the update out of his own pocket.  He will work with Jason to see if this is feasible.
• There will be no more additional website updates for 2005.

6)  Possible handicapping system for 2006 tournament

· The VRPA might include a handicapping system for 2006 tournaments.  Eden will be providing further details of this, and will create a post in the forum asking opinions from other members on the idea.

7) Generic e-mail for new members logged into forum

· Warren and Kyle will create a generic e-mail to send to new, non paying members which will give a brief description of the VRPA and what is included in the yearly membership.
